TITLE: Manager, Institutional Relations

PRIMARY FUNCTIONS:

The Manager of Institutional Relations oversees amfAR’s institutional giving program. They will work with the Director of Philanthropy to strategically manage and grow our current portfolio of foundations, corporations and government funders to sustain and increase both core and program support. They will also work closely with our Research, Public Policy, Treat Asia, Finance and Public Information departments to become familiar with amfAR’s diverse array of programs to ensure compelling, clear, high-quality proposal and report submissions.

DUTIES AND RESPONSIBILITIES:

  • Build and sustain a pipeline of prospective funders by researching and identifying new corporate and foundation grant prospects.
  • Provide leadership in strategically growing existing revenue and engaging new revenue sources, with a focus on increasing multi-year grant support.
  • Work with Chief Development Officer and Director of Philanthropy in developing engagement and cultivation strategies for current and potential institutional donors.
  • Manage Institutional donor outreach and communications, and maintain regular correspondence with key funding representatives.
  • Serve as the primary manager on all grant proposals, requests, and reports to foundations, corporate and other institutional partners.
  • Manage the grant submission process, including collection of data, completion of proposals, tracking, reporting, and corresponding with all donors.
  • Manage Institutional donor outreach and communications, and maintain regular correspondence with key funding representatives.
  • Develop and maintain an annual schedule of letters of inquiry, proposals, and reports, tracking outcomes and updating the calendar on a regular basis
  • Work with program colleagues to ensure accurate information is provided in all funder communications
  • Conduct in person and/or virtual meetings with foundation and corporate contacts to cultivate, solicit and steward relationships as needed, utilizing senior staff where necessary.
  • Represent amfAR in meetings and solicitations with corporate and foundation officers and program directors.
  • Assist the marketing and communications team in the development of engaging funder collateral.
  • Support the organization's development database in relation to institutional donors, developing strategies for its use and collaborating with the Research Manager to ensure regular, accurate data collection in support of meaningful, regular reporting.
  • Analyze and share fundraising and grant implementation and impact data to empower informed decision making with respect to amfAR's prospects and strategies, and effective compliance with and stewardship of current grants.
  • Manage institutional campaign expense and revenue budgets, financial reporting and analysis, and cash flow in accordance with the rules and procedures set by the finance dept.
  • Perform any other job related duties as assigned by director of Philanthropy or Chief Development Officer.

QUALIFICATIONS:
Bachelor's degree required, advanced degree preferred, with at least five years experience in foundation and/or corporate giving, including experience in preparing grant proposals and other written materials for non-profit organizations along with the ability to construct and analyze program budgets. Proven leadership, team orientation, self-direction abilities, and the capacity to manage multiple projects simultaneously. Exceptional writing, strong research and analytical skills required as well as the ability to work comfortably in a fast-paced environment and with a multidisciplinary staff of professionals. Experience with Salesforce preferred. Interest in the field of HIV/AIDS is preferred.
